Stock and profit for bars and pubs

The real number

Count the bar on your phone and book in deliveries as they come. Stocked shows what every drink makes you after VAT, and how much stock has gone missing, in pounds.

First month free, then £19.99 a month. No card to start, no contract.

Stocked on a laptop for the Wee Stag: £39.93 short last week at cost, with stout, American whiskey, vodka and Prosecco short in each of the last 6 weeks, £3,286.82 to order split by supplier, £3,458.17 of stock on the shelves, a 74% average profit per drink on a dial, the next count on Monday 2 November, then a list of things to sort and a price rise from a delivery The same home page in dark mode

The count

Count the bar shelf by shelf.

Your shelves are laid out in the order you walk them. Tap a bottle, put in the full ones and how much is left in the open one, and the next bottle opens.

  • The open bottle in tenthsTap .4 for a bottle that's a bit under half, or drag the level on the drawing of the bottle. Or put it on the scales and type the weight, once you've told Stocked what that bottle weighs full and empty.
  • Cases and loose onesBottled beer and mixers count as full cases plus whatever's loose, so nobody has to multiply by 24.
  • More than one countingTwo of you can count at once, one in the cellar and one at the back bar. Each shelf shows how far through it you are.
Counting on a phone: the back bar at 3 of 18, Smirnoff Red Vodka open with a drawing of the bottle filled to .4, buttons for full bottles, tenths from 0 to .9 and a box to weigh it
Works with no signal

Keeps counting in the cellar.

Anything you count with no signal is kept on the phone and sent when the signal is back. The top of the page says how many are waiting.

  • Opens without signal tooOnce the count has been opened on a phone, it opens again there with no signal.
  • The later count winsIf two people count the same shelf, the one counted last is the one that's kept.
  • A manager finishes itWhen everyone's done, a manager finishes the count. Only finished counts go into the order list and the figures.
Counting with no signal: 5 of 49 counted, 2 saved on this phone and sending when there's signal
Where it went

See what's gone missing in pounds.

Last count, plus deliveries, minus this count, is what was used. Stocked puts that next to what the till sold, and the difference is what went to spills, free pours or out the door.

Where it went for 19 to 25 October: £39.93 short overall, £3,194.97 left the shelves and the till accounts for £3,155.04, £54.98 short and £15.05 over, a bar for each of the last 6 weeks, then what keeps happening: stout, American whiskey, vodka and Prosecco short in 6 of 6 weeks
Where it went on a phone: £39.93 short, what left the shelves against what the till accounts for, and a bar for each week
Keeps happeningA drink that comes up short most weeks gets a list of its own, with what it's cost so far and a year at that rate. A one-off is a spill; this is a habit.
Short and over apartOver usually means a miscount or the wrong till key, so it's kept separate from what's missing.
Normal loss allowed forLine cleaning and the head on a pint lose about 4%. Set it per product and it won't show as missing.
Your till's reportUpload the sales report your till exports. The first time, you say which columns are which, and Stocked remembers.
Till names matched once"ESP MARTINI" is matched to the Espresso Martini once. Every upload after that matches it without asking.
No export? Type it inPut in how many of each drink were sold over a run of days instead.
Specs

Every drink costed from what you pay.

Build each drink from what goes in it. Stocked takes the VAT off the menu price, so the profit it shows is what's really left.

Specs on a laptop: each drink with its menu price, what it costs, what it makes, the profit percentage, and the price you'd need to hit your 75% target
Specs on a phone: each drink with its price, cost, profit and the price for your target
The price for your targetSet the profit you aim for. Each drink shows the menu price that would get there, rounded up to the next 5p.
Low ones flaggedDrinks under your target are marked, and Home says how many there are and which is lowest.
Starts with guide pricesPick from a list of common UK bar products with rough trade prices, so the numbers aren't blank on day one. They're marked until you put in your own.
The spec book

Print the specs for behind the bar.

Every drink with its glass, its measures and how to make it, laid out to print. The costs stay off it.

  • Always up to dateIt's printed from the same specs the costs come from, so a change to a spec is in the next print.
  • By menu sectionCocktails together, draught together, and so on, the same sections as your specs.
The Wee Stag's printed spec book: cocktails like the Espresso Martini with 40ml vodka, 20ml coffee liqueur, 9g espresso beans and 10ml sugar syrup, and a method underneath
Deliveries

A price rise shows on every drink it touches.

Book in a delivery with what it cost. The stock goes up, and if a price has changed, the product's cost changes with it.

  • What it did to each drinkThe delivery page shows the profit on every drink that uses the dearer product, before and after.
  • Price changes on HomeAnything that's gone up or down in the last two weeks is listed on Home, with how much by.
  • Real prices replace guide onesBooking in a delivery puts in what you actually paid, so the guide prices go as you go.
A Tennent's delivery on a phone: the keg went from £122.00 to £128.50, and the pint of lager went from 68.0% profit to 66.3%, below target
Orders

The order comes from the count.

Give each product a "should have" level. After a count, Stocked works out what gets you back to it, minus anything delivered since, split by supplier.

The order on a laptop, by supplier: limes and mint from the fruit and veg supplier, then crisps, espresso beans and tonic in whole cases from the soft drinks supplier
The order on a phone, split by supplier
Whole casesAnything sold by the case is rounded up to full cases, with the number of bottles or cans underneath.
Email it to the supplierSend each supplier their list from Stocked. Their reply comes back to your own email.
Or copy it as textFor the supplier who takes orders by text message, copy the list and paste it in.
Made for bars

Built by people who've done the stocktake.

A list of things to sortHome lists what stops the numbers being right: guide prices, drinks with no menu price, products with no supplier.
Counts are before openingA count is the stock on its day before the doors open, so a late night doesn't land in the wrong week.
Access by roleStaff count and book in deliveries. Managers handle prices, specs, orders and where it went. Owners handle billing.
Nothing to installIt runs in the phone's browser. Add it to the home screen and it opens like an app.

Your figures stay yoursIf you stop paying, nothing is deleted. Your counts, specs and products stay there to read.

Questions

Fair questions.

Is it an app I download?

No. It runs in the browser on any phone, tablet or laptop. Add it to the home screen and it opens like an app.

Does counting work without signal?

Yes. Anything counted with no signal is kept on the phone and sent when the signal is back. The count page says how many are waiting.

Does it connect to my till?

Not directly yet. Upload the sales report your till exports, or type in how many of each drink sold. Till names are matched to your drinks once, and remembered.

I don't know what I pay for everything. Can I still start?

Yes. The starter list comes with rough trade prices, marked as guide prices. Put in your own when you know them, or book in a delivery and it's done for you.

Won't line cleaning show up as missing?

Not if you allow for it. Each product has a normal loss: about 4% for draught covers line cleaning and the head. Only what's past that shows as short.

What can my staff see?

Staff count and book in deliveries, so they see what a delivery cost. Specs, profit per drink, orders and where it went are for managers and owners.

What happens after the free month?

The owner adds a card and it's £19.99 a month for that venue. If you don't, nothing is deleted: your counts, specs and products stay there to read, but new counts and deliveries are paused.

Can I cancel?

Any time. There's no contract and no notice period.

Rota Done makes staff rotas that show the real labour cost. Seated does table bookings. Both are for independent pubs, restaurants and cafés.
